TenderAxis is operated by Contact Directory Pty Ltd (ABN 35 620 573 328) ("we", "us"). This policy explains how we handle personal information when you visit the website, create an account, use the application, receive alerts, contact support, or interact with our services.
1. What we collect
We collect account information such as name, email address, organisation, role, login credentials, and billing status. We also collect service activity such as saved searches, watchlist entries, notification settings, search filters, export activity, support requests, and tender records opened through the application. Technical information may include session cookies, device and browser details, IP address, request logs, security events, and basic analytics events.
2. How we collect information
We collect information directly from you when you sign up, log in, configure searches, use product features, submit forms, or contact us. We collect technical information automatically when your browser or device communicates with the service. Tender content is collected from public procurement sources and is not collected from your account.
3. How we use information
We use personal information to provide and secure the service, authenticate users, manage organisations and roles, send verification, password reset, account, billing, and saved-search emails, support customers, detect misuse, improve product reliability, understand feature usage, maintain audit records, and meet legal obligations.
4. Email and marketing
We send transactional emails needed to operate your account, such as verification, password reset, billing, and saved-search alerts. We may send product or marketing messages where permitted by law. Commercial messages will identify the sender and include an unsubscribe option where required.
5. Processors and disclosure
We use service providers to operate TenderAxis, including Render for application hosting and database services, Cloudflare R2 or compatible object storage for document storage, Stripe for billing, Resend for email delivery, PostHog for product analytics if enabled, and domain, DNS, security, logging, and support providers as required. These providers process information for us so the service can operate. We may also disclose information where required by law, to protect rights and security, or in connection with a business transfer.
6. Overseas processing
Some providers may process or store information outside Australia, including in the United States, European Union, or other regions used by their infrastructure. We choose reputable providers and use appropriate account, contractual, and technical controls where available.
7. Analytics and cookies
We use cookies and similar technologies to keep users signed in, protect sessions, remember product state, and understand product usage. Product analytics are configured to avoid collecting search query strings and to mask text, element attributes, and form inputs. Session recording is disabled unless deliberately enabled for beta troubleshooting with privacy safeguards.
8. Tender data
Tender records, source links, dates, categories, descriptions, and documents are collected from public procurement portals. We retain copies and metadata to support search, alerts, history, document handling, and source comparison. You should not upload confidential tender response material unless you are authorised to do so.
9. Security
We use technical and organisational measures designed to protect personal information, including password hashing, signed sessions, encrypted transport, restricted production access, managed hosting controls, backups, and monitoring. No internet service can guarantee absolute security, so you should use strong passwords and notify us promptly if you suspect unauthorised access.
10. Retention and deletion
We retain personal information while your account is active and for a reasonable period afterwards for legal, billing, support, security, backup, and audit purposes. We may retain de-identified or aggregated information that no longer identifies you. You may request deletion of personal information, subject to legal, security, and operational limits.
11. Access, correction, and complaints
You may request access to, or correction of, personal information we hold about you. You may also complain if you believe your personal information has been mishandled. We will respond within a reasonable time and, where required, within the timeframes set by Australian privacy law.
12. Changes
We may update this policy when our information handling practices change. The updated policy will be published on this page and, for material changes affecting active customers, we may notify the primary account contact.
